AI customer service bots work best with a clear assignment
A bot is easier to configure and review when it has a specific job. It might explain what a service includes, ask what someone needs or help them find the next step. Define where that assignment ends and who continues the conversation.
Start with a question your business receives regularly. Gather the information needed to answer it: service scope, requirements, actual opening hours and current links. When something is unconfirmed, prepare a response that acknowledges the gap and routes it to a person.
Message volume tells only part of the story. You also need to know whether the customer understands the answer, receives what they asked for and knows what happens next. A bot can reply quickly while leaving the enquiry unresolved if nobody owns that next action.
Decide when a person should take over

A handoff needs an actual destination. Decide who receives it, where it appears and how that person notices pending work. Saying “a colleague will reply” does little if there is no task or inbox that someone checks.
Keep the context and next action in your CRM
A CRM turns a conversation into work you can find again. For each opportunity, record what the person requested, where they came from, their current stage and who should act. Ask for the information needed to help them, and avoid asking again for details they already gave you.

This is an illustrative record, not a real customer entry. Start with a few understandable stages: enquiry received, context collected, discussion with an owner, proposal and close. Add stages when they represent real decisions in your process.
A sample first conversation
AI assistant: “I can help prepare your service enquiry. What do you need to create, and who is it for?”
Prospect: “I want a video series to introduce my course.”
AI assistant: “I'll pass that context to the person reviewing proposals. Would you prefer to continue on this channel or look through the programme information first?”
The message states the assistant's role, collects relevant context and offers a way forward. Adapt it to how your channel works and the follow-up you can deliver.
Test one complete workflow before expanding it
- Ask a straightforward question. Check that the answer is accurate and the link useful.
- Ask something it does not know. Verify that it avoids inventing a condition and routes the question to a person.
- Request human support. Check the handoff, the context received and the owner.
- Continue a conversation. Review how the contact is identified and whether the necessary information remains available.
- Check the CRM. Confirm the stage and next action, and look for duplicated work.
Run these tests with fictitious data first. Then connect the channels you intend to use and check their permissions and terms. Writing a bot's message does not itself configure WhatsApp, email or another channel.
To measure the outcome, track enquiries received, enquiries resolved, pending handoffs and opportunities moving forward. Define “resolved” and use a consistent time period for comparisons. An automatic reply does not demonstrate customer satisfaction or a sale.
